Primary Duties and Responsibilities

Under the direction and supervision of the UCLA CTSI Grants Submission Unit’s Program Manager, you will be in an entry-level role responsible for assisting the CTSI Grants Submission Unit in the coordination of the administrative components of grant applications including identifying upcoming funding opportunities and potential collaborators as well as writing, reviewing, and editing required administrative grant documents. 

As our Operations Coordinator, you will be asked to schedule meetings, take meeting minutes, and communicate grant application requirements and needs with specific faculty and staff to ensure timely delivery of required components. You will perform office management tasks (ordering supplies) and support the GSU staff in project management tasks as assigned. Under the GSU Program Manager, you will also support drafting of individualized letters of support, editing Biosketches for accuracy and adherence to published standards, writing professional letters and emails including initial outreach and follow-up as needed as well as supporting aspects of training grant applications (e.g. Data Tables). You will be an ambassador of the unit and maintain excellent relationships with internal and external stakeholders.

Salary Range: $28.20-$60.57 Hourly

Job Qualifications

  • Bachelor’s Degree or 2 plus years of experience working in an office environment preference of working in an academic setting with grant administration.
  • Strong competency in critical thinking and writing.
  • Access Database knowledge a plus.
  • Demonstrated skill in working efficiently as part of a collaborative team, sharing responsibility and ability to establish and maintain cooperative working relationships, to create meaningful connections and communication with people at all levels.
  • Analytical skills to formulate logical solutions, develop alternative solutions and to make recommendations based on situational judgment, problem solving, and inductive reasoning.
  • Ability to handle multiple projects with various deadlines.
  • Skill in working independently with moderate supervision and to actively seek additional responsibility, comfort with flexibility in daily tasks due to changing demands.
  • Some experience in grant applications.
  • Strong attention to detail; persistence; proactivity; decisiveness.
  • Commitment to team work/team building and open communication.
