Primary Duties and Responsibilities

We are seeking a highly skilled and organized Assistant to the Chief to provide advanced administrative analysis and support to the Chief of the Division of Cardiology in the Department of Medicine. This pivotal role involves managing a variety of complex tasks and responsibilities, ensuring the smooth operation of the division.

The ideal candidate will be proactive, detail-oriented, and able to work independently while also being a collaborative team player. They will thrive in a fast-paced environment and demonstrate a commitment to supporting the mission and goals of the Division of Cardiology.

Salary offers are determined based on various factors including, but not limited to, qualifications, experience, and equity. The full annual salary range for this position is: $63,800.00 - $127,000.00.

Job Qualifications

Required:

  • Ability to prioritize and organize projects through multiple phases. Ability to meet deadlines and follow through on multiple tasks simultaneously with careful attention to detail, accuracy, completeness, and thoroughness.
  • Ability to work independently, with only general supervision and as part of a team.
  • Excellent organizational skills in all areas of administration.
  • Demonstrated typing and word processing skills using a PC computer to prepare correspondence, reports, manuscripts and other documents with speed and accuracy using MS Word, Excel, PowerPoint, Adobe, etc.
  • Ability to develop databases to develop quality and assurance. Skill in use of data base software.
  • Skill in using digital transcription equipment.
  • Demonstrated writing skills to independently compose routine business correspondence and meeting minutes into final form.
  • Detailed knowledge of the scheduling and maintenance of a complex executive calendar, arrangement of travel itineraries.
  • Demonstrated expertise in triaging incoming calls and correspondence in a high volume office.
  • Ability to analyze information and material, identify omissions and duplications and make appropriate corrections.

Preferred:

  • Working knowledge of University forms and procedures.
  • Working knowledge of medical and scientific terminology.
  • Ability to use Bruin Buy+ system.
  • Ability to use Travel Concur system.
