Primary Duties and Responsibilities

We are seeking a compassionate and organized Administrative Assistant to support Ophthalmology's Comprehensive & Urgent care clinic in Westwood. This role plays a key role to ensure efficient clinic workflows and a positive patient experience. Responsibilities include, but are not limited to:

  • Check patients in and out
  • Screen incoming calls and schedule patient appointments
  • Collect payments
  • Assist with billing preparation and obtain authorizations
  • Process medical records requests and manage document scanning/filing in EMR
Salary Range: $25.60-$36.33 Hourly

Job Qualifications

Required

  • Experience scheduling patient appointments in a computerized system.
  • Ability to interact calmly and effectively with patients with difficult personalities. 
  • Excellent interpersonal skills which promote pleasant and effective communications with patients, staff and doctors.
  • Excellent organizational skills and ability to maintain records in a clear and orderly manner at the direction of the Office Manager.
  • Ability to clearly speak and write in English using correct grammar.
  • Sufficient computer keyboarding skills to perform appointment scheduling, encountering, emailing and other related computer tasks.
  • Ability to prioritize tasks in a systematic manner to maximize efficiency.
  • Ability to demonstrate professionalism while dealing with the stressors of operating a multi-line telephone system.
  • Ability to work with frequent interruptions and complete assignments in a timely manner.
  • Ability to work independently, with minimal supervision.

Preferred:

  • Experience working in medical office and/or medical teaching institution.
  • Two years’ experience in ophthalmology practice setting and familiarity with ophthalmology and related terminology.
  • Knowledge of State and Federal programs to ensure reimbursement from Medicare, Medi-Cal, CCS programs and other sponsoring agencies.
