Primary Duties and Responsibilities

UCLA Health is seeking a Mailroom Lead to support and oversee daily operations in the Faculty Practice Group (FPG) mailroom. Reporting to the Office Manager, the Mailroom Lead will serve as the team leader, assigning and distributing tasks while ensuring timely and accurate processing of all incoming and outgoing mail. This includes supporting functions such as front desk, scanning, correspondence, and faxes.

The Mailroom Lead will monitor workflows, guide staff, track quality metrics, and assist with process improvement. This role also requires strong organizational skills, effective communication, and the ability to support mailroom operations across multiple departments.

In this role, you will:

  • Assign and distribute mailroom tasks, including sorting, stamping, and distributing incoming and outgoing mail.
  • Provide guidance and oversight on daily operations, ensuring accuracy and timeliness in processing mail, live checks, credit card payments, and guarantor statements.
  • Coordinate Iron Mountain deliveries and pickups for various departments.
  • Act as an in-house courier and support supply inventory management.
  • Assist with office and facility needs, including coordination with vendors and support for building management operations.
  • Enforce 5S compliance and ensure ergonomic safety standards are upheld in all workspaces.
  • Support administrative coordination for equipment service requests and clerical supply ordering.

Salary Range: $29.42 – $42.14 hourly

Job Qualifications

We’re looking for a detail-oriented and dependable administrative leader with:

  • Previous mailroom experience, required. 
  • Ability to maintain confidentiality of sensitive information.
  • Ability to lift up to 35 pounds.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Knowledge of billing information, claim forms, referrals, authorizations, and benefit forms.
  • Familiarity with CareConnect and BruinBuy applications.
  • Ability to work under pressure in a fast-paced environment with minimal supervision.
  • Strong communication and interpersonal skills.
  • Experience coordinating with vendors and managing office logistics.
  • 2–5 years of managerial/lead experience, highly desired
  • Excellent organization, multitasking, and planning skills.
