Primary Duties and Responsibilities

The Semel Institute is seeking to hire a full time Payroll Analyst III to serve as Senior Payroll Coordinator for more than 600 faculty and academic appointees in the Department of Psychiatry and Biobehavioral Sciences and Semel Institute for the Academic Payroll Office. in this role you will serve as subject matter expert in UCPath system payroll and general ledger module. 

Major duties include: 

  • Responsible for all complex academic payroll and personnel functions for approximately 600 academic appointees, including on-line processing and payroll adjustments in UCPath. 
  • Oversee and serve as a primary reviewer and approver for all academic UCPath entries. 
  • Respond to division administrators, PIs, fund managers questions on payroll questions. 
  • Manage leave of absence and advise faculty and other academic appointees on all policies and processes in accordance with federal/state laws, departmental policies and collective bargaining agreement  
  • Maintain accurate records and monitor salary and benefit related data; apply policies and procedures to resolve routine payroll issues, reviewing and analyzing Health Sciences Compensation Plan salaries, assist with the Annual Salary Negotiation process including preparation of complex Faculty Compensation Worksheets (FCWs), and maintenance of payroll records. 
  • Review all UCPath entries for accuracy of appointments, merit increases, promotions, change-in-series, annual reappointment, salary adjustment, total negotiated salary (TNS) and FTE changes. 
  • Assist Academic Payroll Manager with the Faculty/Academic DCR process (Distribution Change Requests). 
  • Performs other routine payroll transactions as required.
Pay Range: $63,800.00 - $127,000.00 annually. 

Job Qualifications

Required: 

  • Working knowledge of UCLA academic personnel and payroll policies, procedures, and processes.
  • Thorough knowledge of various UCPath transactions/system/modules.
  • Demonstrate knowledge of UCLA fund accounting systems and ability to review and understand accounting documents and ledgers.
  • Demonstrate knowledge of UCLA policies and procedures related to compensation, leaves of absence, and employee benefits.
  • Demonstrated proficiency performing standard payroll operations including auditing, timekeeping documents, computing and preparing payroll and reconciliating payroll ledgers.
  • Demonstrated ability to operate a personal computer and various office related software such as Microsoft Word, Excel, Outlook, Power Point, etc.
  • Ability to prioritize work assignments that accurately reflect the relative importance of tasks when there are changes in workload or assignment, deadlines, completing requirements and heavy workload
  • Ability to work both independently and collaborate as part of a team in an extremely detailed orientated environment. Willingness to assume partial workload of other team members during absences.
  • Excellent oral and written communication skills to effectively relay and obtain information, explain policies and procedures, and establish and maintain cooperative working relationships with diverse audiences, including faculty, staff and management teams.

Preferred:
  • Bachelor’s degree in business-related major and/or relevant experience/training- preferred.
