Primary Duties and Responsibilities

As an Administrative Assistant 3 with Ophthalmology's Santa Monica Stein Eye Center, you will take on the role of Surgery Coordinator for a multi-specialty group. You will be the point of contact for patients and providers for all surgery needs. We are looking for an experienced and compassionate individual that can seamlessly manage our patients' surgery care. 

Responsibilities include, but are not limited to:

  • Schedule patients for surgery and all related appointments
  • Work closely with doctors and OR staff 
  • Obtain pre-authorizations and referrals
  • Coordinate with insurance companies
  • Arrange payment services
  • Assist patients through the consenting process

Salary Range: $29.42-42.14

Job Qualifications

Required: 

• Minimum two years’ experience working in medical office as a surgery scheduler.
• Experience scheduling patient appointments in computerized appointment scheduling system.
• Excellent interpersonal skills which promote pleasant and effective communication with patients, staff and doctors.
• Excellent organizational skills and ability to maintain records in a clear and orderly manner at the direction of the Office Manager.
• Working knowledge of medical terminology and diseases, as it applies to the eye.
• Familiarity with current patient billing practices.
• Sufficient computer keyboard skills to perform appointment scheduling, encountering, emailing, and other related computer tasks.
• Ability to prioritize tasks in a systematic manner to maximize efficiency.
• Ability to work with frequent interruptions and to complete assignments in a timely manner.
• Knowledge of current governmental programs to ensure reimbursement.
• Ability to work independently with minimal supervision.
• Ability to multitask effectively.
• Flexibility and adaptability given the dynamic nature of medicine and departmental needs.
• The ability to interact calmly and effectively with providers, staff, as well as patients with difficult personalities.


Preferred:

• Two years’ experience working in a medical teaching institution.
• Two years’ experience in ophthalmology practice setting.
• Familiarity with ophthalmology and related terminology
• Bilingual in English/Spanish
