Primary Duties and Responsibilities

UCLA Health is seeking a detail-oriented and organized Administrative Assistant II to support the FPG Support Services team as the Right Fax Administrator. In this high-volume administrative role, you will be responsible for receiving, reviewing, and accurately routing over 2,500 faxed documents daily to more than 50 internal departments across a complex and decentralized health system.

Responsibilities include:

  • Serve as the primary Right Fax Administrator by filtering, reviewing, and analyzing incoming correspondence.
  • Identify and appropriately route documents from billing, medical groups, Medicare Advantage, and financial departments.
  • Utilize CareConnect (EHR) modules including billing, Tapestry, and registration to research and validate document destinations.
  • Apply knowledge of HIPAA regulations and patient confidentiality in every interaction.
  • Communicate with internal leadership and external entities (e.g., hospitals, insurance companies, health plans) to resolve routing issues.
  • Collaborate with department leadership to address process inefficiencies and improve operational workflow.
Salary Range: $25.60-$36.33/hour

Job Qualifications

We’re seeking a detail-oriented, self-directed individual with:

  • Previous mailroom experience, required
  • Working knowledge of Microsoft Office
  • Knowledge of billing information and claim forms
  • Experience working in the SMS Signature system
  • Proficiency in MS Office
  • Strong communication skills
  • Ability to interface professionally with all levels of the organization
  • Ability to work under pressure in a fast-paced environment
  • Ability to handle concurrent tasks with minimal supervision
  • Previous front office experience – Preferred
  • Ability to lift up to 35 lbs
