Primary Duties and Responsibilities

UCLA Health is seeking a highly organized Administrative Assistant to support the daily operational workflows within the Managed Care Department. Reporting to the Managed Care Operations Supervisor, this position plays a key role in processing incoming communications, preparing audit documentation, printing and distributing reports, and maintaining workflow logs to ensure efficiency, accuracy, and compliance.

This role supports a range of critical back-office processes including batching, scanning, filing, and reporting. The Administrative Assistant also monitors incoming faxes, prepares documentation for CMS and Health Plan audits, and provides general clerical support to the team. The ideal candidate will be flexible, detail-oriented, and comfortable working independently in a high-volume environment.

In this role, you will:

  • Receive, sort, batch, and route incoming communications including mail, faxes, emails, and CRMs.
  • Prepare and maintain batch and inventory logs, scan and file documentation, and manage off-site storage preparation.
  • Print and distribute reports to support operational and compliance requirements.
  • Monitor fax queues and identify document types for appropriate routing.
  • Support CMS and Health Plan audits by retrieving and compiling relevant documentation.
  • Create and complete CRM tasks based on incoming correspondence.
  • Maintain confidentiality and ensure adherence to HIPAA and departmental policies.
  • Support departmental improvement initiatives and process streamlining.

Salary Range: $25.60 – $36.33 hourly

Job Qualifications

We’re looking for a detail-oriented and dependable administrative professional with:

  • A high school diploma, GED, or equivalent. Required
  • Experience working at a health plan, medical group, or medical billing office.
  • At least 1 year of data entry experience. Preferred
  • Basic knowledge of Microsoft Outlook, Word, and Excel.
  • Ability to file alphabetically, numerically, or alphanumerically.
  • Ability to multitask, work with frequent interruptions, and meet deadlines.
  • Ability to operate office equipment, including computers, printers, copiers, and fax machines.
  • Strong communication and organizational skills.
  • Ability to maintain confidentiality of sensitive information. Required
  • Ability to lift up to 40 pounds. Required
