Primary Duties and Responsibilities

This leadership position will serve as the Administrative Supervisor of Olive View-UCLA Medical Center and is responsible for comprehensive management and strategic oversight of the Medical School Affiliation Agreement (MSAA) between the County of Los Angeles and the University of California, Los Angeles David Geffen School of Medicine (DGSOM), influencing long-term academic, financial, and operational planning for the Olive View-UCLA  Medical Center and its clinical departments.
The position supervises a team of 9 career and 5 limited staff members, leading cross-functional teams in finance, administration, human resources, and clinical operations to ensure cohesive execution of the MSAA's objectives and alignment with institutional priorities. The Administrative Supervisor actively partners and builds relationships with Department Chairs and Administrators across Olive View Medical Center’s 14 clinical departments, providing direction and fostering a culture of accountability, professional development, and continuous improvement.
The Administrative Supervisor will ensure that team performance aligns with institutional goals and compliance requirements and will actively collaborate with senior leadership across organizations between County, University, and Campus to identify opportunities for growth, improvement, and optimization of the teaching objective at Olive View- UCLA Medical Center.

Salary Range: $83,800 – 179,400 Annually

Job Qualifications

Required:
  • Advanced knowledge and understanding of the LAC/UCLA Medical School Operating Agreement, L.A. County Physician Pay Plan and other related L.A. County payroll reports
  • Analytical skills to conduct analysis and develop recommendations; demonstrates organizational skills and problem-solving skills
  • Facility with data analytics tools including Excel and Tableau
  • Skill in computing ratios, rates & percentages to prepare financial reports.
  • Ability to work outside of regular scheduled hours as needed.
  • Ability to interpret the Academic Personnel Manual, UCLA's Call.
  • Demonstrated intermediate skill level with Microsoft Office Suite (Word, PowerPoint, as well as Outlook) and Box for content management
  • Ability to learn new software as needed
  • Ability to maintain confidentiality and work with confidential matters with judgment and sensitivity.
  • Ability to set priorities and work with frequents interruptions, changes in assignments, pressures of deadlines, competitive requirements and heavy workload
  •  Attention to detail, excellent grammar, and ability to prepare accurate written documents
  • Typing skills to prepare business correspondence with speed and accuracy
  • Ability to delegate assignments and provide training to support staff
  • Demonstrated excellent interpersonal skills to establish and maintain effective working relationships with campus administrators, faculty, staff and resident physicians
  • Skill in establishing and maintaining filing systems (hard copy and computer)
  • Ability to prepare and give presentations to groups
  • Working knowledge of staff personnel policies

Preferred:
  • Working knowledge of the University's On-line FS system, TOF /PAN /UCPath/Travel Express/Cognos/QDB /Bruin Buy/ NPEAR systems
  • Working knowledge of University Accounting, Travel, Purchasing, Academic and Staff Payroll and personnel Policies and procedures
  • Working knowledge of the Health Sciences Compensation Plan, Payroll policies and procedures, and UC Benefits
