Primary Duties and Responsibilities

Join our dynamic team as an experienced Executive Assistant, where you'll play a pivotal role in supporting the executive office within the Department of Medicine. Reporting directly to the Executive Director, Office of the Chair of Medicine, your responsibilities will include managing multiple calendars, orchestrating a high-volume of virtual and in-person meetings, providing support for important strategic initiatives, and coordinating department events.

In this role, you will also manage office operations to ensure efficiency and effectiveness, prepare and organize meeting agendas and minutes, create presentations, and maintain essential documents and databases. Acting as a key liaison, you will facilitate communication between the Executive Director, division administrators, and division chiefs. Additionally, you'll have the opportunity to contribute to special projects as needed.

UCLA Health salary range for this position is $76,200.00 - $158,800.00/annually. Please note that the department's target pay range is $76,200.00 - $117,500.00/annually.

Job Qualifications

Required:

  • Bachelor's degree in related area and / or equivalent experience / training.
  • Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills.
  • Knowledge of a variety of administrative operational activities such as event planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines.
  • Solid knowledge of common computer applications/programs.
  • Ability to use discretion and maintain confidentiality.
  • Strong skills in short-term planning, analysis, problem-solving, and customer service.
