Primary Duties and Responsibilities

The Department of Medicine is seeking a motivated Fellowship Coordinator Assistant to support the day-to-day operations of a dynamic academic training program. This role will coordinate fellowship activities including recruitment and admissions, curriculum support, trainee onboarding and orientation, conference and event planning, and overall program operations. Working closely with program leadership, the incumbent will help manage key program initiatives, support educational activities, and contribute to a collaborative learning environment. The position requires strong organizational skills, attention to detail, and the ability to work independently while managing multiple priorities in a fast-paced academic setting.

Hourly range: $33.81-$51.24

Job Qualifications

Required:
  • Bachelor's degree in related area and/or equivalent combination of education and experience.
  • Minimum one (1) year experience Admissions and recruitment management and/or Student advising.
  • Ability to work in diverse groups, including but not limited to students, staff, faculty, general public, and UCLA and external vendors.
  • Must be well-organized, detail-oriented and able to handle complex projects. Must be capable of setting own priorities. Must be able to multi-task and focus on work in the midst of numerous interruptions and produce accurate results.
  • Excellent organizational skills, analytical, and demonstrated attention to detail. Ability to complete work and meet established deadlines in an accurate and timely manner, and to manage short and competing deadlines.
  • Knowledge of educational software and platforms. Demonstrated ability to analyze and seek solutions to enhance the user experience.
  • Demonstrated ability to develop and implement processes, guidelines, and/or systems to improve efficiency and procedure.
  • Synthesize information from a variety of sources for compiling and/or presenting information for learners
Preferred:
  • Demonstrated knowledge of department, organization, and University policies, procedures, and directives.
  • Knowledge of department and school/college general and major course requirements.
  • Advanced degree in a related area highly preferred.
