Primary Duties and Responsibilities

The Academic Personnel Analyst 3 manages academic personnel activities for the Department of Medicine, VA division. Serving as a subject matter expert, the incumbent provides guidance on academic personnel policies and procedures, ensuring compliance with UC, UCLA, DGSOM, and departmental requirements while supporting faculty, leadership, and staff on a wide range of personnel matters.

Key Responsibilities:
  • Lead departmental operations, strategic initiatives, and change management efforts to support organizational goals and continuous improvement.
  • Oversee a full range of academic personnel functions, including recruitment, appointments, advancements, separations, dossier management, payroll, leave administration, benefits, credentialing, privileging, visas, and special licensing programs.
  • Serve as a subject matter expert on UC, UCLA, DGSOM, and Academic Personnel Manual (APM) policies, ensuring compliance while advising faculty, managers, and departmental leadership.
  • Manage staffing, workload distribution, performance management, employee relations, and professional development initiatives to support a high-performing workforce.
  • Establish and improve administrative processes, controls, and workflows to enhance operational efficiency, accountability, and service delivery.
  • Oversee academic personnel transactions, salary administration, outside professional activities reporting, and faculty support programs.
  • Partner with departmental leadership on short- and long-term planning, resource allocation, reporting, and special projects that advance departmental priorities.
  • Collaborate with Information Services to assess technology needs, support system enhancements, and ensure staff have the tools needed to work effectively in both on-site and remote environments.
Salary: $6,725 - $14,041.67 monthly 

Job Qualifications

Required: 
  • Bachelor’s Degree in Human Resources or equivalent combination of education and experience
  • 4-6 years of subject matter expertise
  • Thorough knowledge of UC-wide Academic Personnel Policies (APM) and bargaining union contracts, and the procedures and practices that govern academic personnel administration.
  • Thorough knowledge of local, i.e. DGSOM and/or department, voting and compensation plan bylaws, and the procedures and practices that govern academic personnel administration.
  • Thorough knowledge of Compensation Plan bylaws including Outside Professional Activities and the procedures and practices that govern these.
  • Adept in handling sensitive information and / or situations and maintaining strict confidentiality.
  • Adept in meeting deadlines despite frequent interruptions.
  • Excellent oral and written communication skills to effectively relay and obtain information, explain policies and procedures, and establish and maintain cooperative working relationships with diverse audiences, including faculty, staff, and students.
  • Thorough knowledge of benefits and retirement programs, preferably in a university environment; 
  • Ability to support VA Faculty/Staff by accessing documents on VA’s servers via additional appointment. - “VA Without Compensation (WOC)".
